Evidence packs
One PDF. An index, page numbers, and a manifest recording exactly which version of every document went in — so the pack you handed over in March is still provable in November.
A pack is not a zip of whatever was in the folder. Documents go in at a pinned version, and the manifest records the version number and the page range each one occupies, so you can tell somebody the answer is on page 34 and it still will be.
Most of a real pack is not documents. It is fifty-two weeks of alarm tests, a coverage figure for trained wardens, eleven closed actions. Each of those is rendered to a dated PDF and filed as a document version — which is what makes it provable, because the rows behind it will keep changing and the render will not.
If a document cannot be included, the pack refuses to build rather than silently dropping a page. A pack that is quietly missing something is the worst possible artefact to hand to an inspector.
What it does not do
The boundary, stated plainly, because you will find it eventually and it is better to find it now.
- A pack proves what you recorded, not that the underlying work was adequate. It is evidence, not a certificate.
- Building one takes real time on a large estate, so it runs as a job rather than in your browser.
